Why an RSVP QR code

Counting replies by phone and chat is how guest lists go wrong: someone says yes in a message you never see, a plus-one is forgotten, an aunt changes her mind twice. An RSVP QR code gathers every answer in one place. Guests scan the card and see your invitation page with the date, the venue and a map link; they reply attending or not, add how many people are coming, and can leave an email and a wish for the hosts. You see the running totals and the full list in the code analytics, and the details on the page stay editable after the invitations are printed.

  • Every reply lands in one list with totals for who is coming, how many people and who declined.
  • Guests reply from their own phone without an app or an account, and can change their answer later.
  • A reply deadline closes the form on the chosen day, so late answers do not upset the seating plan.
  • “Add to calendar” saves the date and time into the guest's phone calendar in one tap.

Weddings and anniversaries

Printed invitations carry the code; the couple sees how many guests to expect and who brings a partner or children.

Birthday parties

Parents collect replies for a children's party and the number of kids coming, without a long chat thread.

Corporate dinners and launches

An office invitation links to the RSVP page, and the organiser exports the final list for the venue as CSV.

Workshops and tastings

Small hosts cap each reply at a few seats and close registration a day before the date.

Reunions and community gatherings

A poster or a group message collects names from people who are hard to reach individually.

Frequently Asked Questions

Do guests need an app to reply?

No. The phone camera opens the invitation page, and the reply form works in any browser.

Can a guest change their answer?

Yes. The same phone shows their reply with a change button, and a reply with the same email updates the earlier one.

Can I export the guest list?

Yes. Replies appear in the code's analytics with attendance totals, and plans with export can download them as CSV.

What does a guest fill in?

Their name, whether they are coming and, if you allow it, how many people come with them. An email and a short message are optional. Replying again from the same phone updates the earlier answer instead of adding a new one.

Where do I see the replies?

In the analytics of the code: totals for attending, guests and declined, plus every answer with its time. Team editors can delete test or spam replies; on plans with export the list downloads as CSV.

Can I set a deadline for replies?

Yes. After the reply-by date the page still shows the invitation, but the form closes and guests see that replies are no longer accepted.

How does “Add to calendar” work?

When the invitation has a start time, guests can download a calendar file. It keeps the time shown on the invitation, so the event appears at the right hour wherever the phone is set.

Can guests bring someone along?

Set the maximum party size from 1 to 20. With 1, each reply counts one person; with more, guests choose how many people they bring.

Can I get each reply in another system?

On plans with webhooks, subscribe to the “RSVP received” event and every new or changed answer is sent to your endpoint, for example a spreadsheet automation or a CRM.
